All fees are to be paid in EUR (€), free of all bank charges. However, please confirm with your bank for any possible charges from their side.

All registrations must be paid within four (4) weeks of the registration date. Registrations not paid within this period will be automatically deleted.

The preferred method of payment is by card online via our secure payment gateway:

WORLDLINE – Payment Solution Saferpay – Online payments service provider – WORLDLINE.

Accepted Credit / Debit Cards are VISA, MASTERCARD and MAESTRO.
In the unlikely event of a rejected online credit/debit card payment, the delegate is recommended to return to his/her registration online and try to process the payment again. Should the payment issue persist, the participant is advised to contact the card issuer/bank first to check for any potential block on the online transaction. If so, once this is solved it will be possible to pay via the online payment gateway.

Bank transfer payments are accepted as a method of payment as well. All bank transfer payments should be sent to the bank account mentioned on the pro forma invoice.

The payment reference mentioned on the pro forma invoice will need to be used. Please note that any and all bank charges related to this payment must be paid by the remitter. Registrations are only confirmed once the required payment has been received.

Fifteen (15) days before the start of the event bank transfer payments will be disabled. Registrations made less than 15 days before the start of the event can only be paid via online payment.

The Final invoice can be downloaded from the Online Registration Platform within three weeks after the registration is confirmed and paid in full. If you need assistance with the invoice, please contact the ESSO secretariat.

The final invoice will be issued based on the details provided during the registration process (step Contact/Invoice details). Any change of such details (name, address, VAT number, etc.) is possible only within 3 days from the date of registration and is subject to a 40 EUR fee.

Until 24 July 2026 – a 40 EUR administrative fee will be deducted from all refunds.
From 25 July 2026 until 26 August 2026– a 50% of the fee will be refunded.
From 27 August 2026 no refund can be processed.

Up to and including 26 August 2026 – a 40 EUR administrative fee will be deducted from all refunds.

All cancellations must be submitted by email to congress@essoweb.org. Request for refunds made after 27 August 2026 will not be considered.

For any change of name, an administrative fee of 40 EUR will be charged.

The registration fee does not include participant insurance against accidents, sickness, cancellation, theft, property damage, or loss.

The European Society of Surgical Oncology (ASBL/NPA) cannot be held responsible for any personal injury, loss, damage or accident to private property, or for additional expenses incurred as a result of delays or changes in air, rail, road travel or other services, or resulting from strikes, illness, weather and other similar causes, neither for any indirect damage resulting thereof.

In any event, ESSO cannot be held liable for any claims resulting from, or arising out of:

i. failure to provide any of the services contracted due to Force Majeure;
ii. accident, injury or damage to the Participants or their respective property due to their own actions, neglect or actions of others.
iii. any indirect damage.

The Participant should make sure that they are fully insured against all losses or liabilities referred to in this section.

In the event of a force majeure situation, The European Society of Surgical Oncology (ASBL/NPA) reserves the right to alter or cancel the event without prior notice, including any change of the time and/or congress venue. Any occurrence of a force majeure event shall be communicated as soon as reasonably possible from the decision time.

Force majeure includes any circumstance beyond the reasonable control of The European Society of Surgical Oncology (ASBL/NPA) which prevents or impedes the realization of the meeting. This includes, but is not limited to, government action, war or hostilities, riot or civil commotion, plague, or other epidemics such as SARS, bird flu, COVID-19, earthquake, flood, hurricane, cyclone, fire or other natural physical disasters, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism.

In case of cancellation of the congress due to force majeure, delegates who have registered will be offered the choice for a refund or a transfer for next year’s congress.

In the event of postponement or cancellation of the Congress due to Force Majeure or to events which are not attributable to wrongful intent or gross negligence of ESSO, the latter cannot be held liable by Participants for any damages, costs, or financial losses and any other miscellaneous expenses directly or indirectly resulting from such postponement or cancellation.

The European General Data Protection Regulation (EU GDPR) entered into force on 25 May 2018, and it involves some additions to data protection. We take your privacy very seriously and to comply with GDPR consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating the account in our system. After creating your user account in our system, you can manage your information and protect your privacy and security via our Online Portal which is now fully GDPR compliant.

This event may include a photographer and may be recorded for promotional purposes only. These photos/recordings may be used in official ESSO press releases, printed and/or online publicity and published on any ESSO social media network, such as Facebook, Twitter, YouTube or LinkedIn.
